When you log into SPA RecruitmentWeb, what you see and what you are able to do will depend on your assigned role. There are five roles in SPA RecruitmentWeb—each responsible for different aspects of the hiring process. Below is a brief overview of this process and how the five roles fit in:
When a candidate applies for an open position, the application is first directed to Human Resources. If HR Services determines that a candidate meets the State minimum education and experience requirements, the application will be referred to the hiring department. The department is responsible for reviewing referred applications, interviewing candidates, checking references, and making a selection. The selected applicant is then referred back to HR Services for salary administration, a criminal background check, and other procedures that must take place before a job offer is extended to the applicant.
- The Department Coordinator oversees hiring for his or her department. He/she can review applications, participate in the selection process, and submit the final selection for approval. The Department Coordinator is the only user who can set up access for members of an interview committee. The Department Coordinator will be notified when HR Services has begun to refer applications.
- The Hiring Manager is directly in charge of the hiring process for a particular requisition. Like the Department Coordinator, the Hiring Manager can review applications, participate in the selection process, and submit the final selection for approval, but only for those requisitions for which he/she is directly responsible.
- An Interview Committee Member can review applications and participate in the selection process for a particular requisition. Depending on the level of access granted by the Department Coordinator, the Interview Committee Member may or may not be able to submit comments electronically through SPA RecruitmentWeb.
- The Department Approver reviews the department’s selection and must approve this selection before the candidate is referred back to HR Services for the rest of the hiring process. He or she may also disapprove the selection—for example, if it appears that the interview committee did not adequately consider all candidates. Disapproved selections are returned to the Department Coordinator.
- The final role, Department View, allows other members of the department to view the hiring process without directly participating. Users with this privilege may view and print applications and selection documents for any requisitions in the department, but they cannot mark or update these documents in any way.
Your Training Path
From this point forward, our training session splits into five modules—one for each of the five SPA RecruitmentWeb roles. Most of the screens have a Flash movie, which will automatically start once you click on the video icon.

Keep in mind that because you are watching a Flash movie, you also have controls to allow you to stop, rewind, and fast forward.

Note: The Flash movie player will be at the very bottom of your screen and you may have to scroll to see it. You may also want to scroll if there are onscreen actions or items you wish to examine more closely. Generally though, if you've set your screen resolution to 1280 x 1024, you can watch the Flash movie without scrolling.
